This position serves as a key point of contact for employees by responding to inquiries related to HR policies, payroll, and benefits, and directing them to the appropriate Human Resources contacts as needed. This role also manages front desk operations including greeting visitors, maintaining visitor logs, and enforcing check-in procedures.
This role manages also front desk operations, greets visitors, maintains office and production supplies, and provides general administrative support to all employees.
Duties and Responsibilities:
- Answer employee’s inquiries regarding to HR policy and procedure, employee benefits and payroll in person, phone, and through email.
- Enroll, update and terminate employees through Facial Recognition Security System
- Issue and Manage Employee Photo Badges
- Order, distribute, and keep inventory of office and production supplies.
- Maintain and update employee communication bulletin board for important company announcements.
- Answer, direct and assist front lobby visitors, customers, and vendors through intercom system.
- Implement visitor check-in procedures (issue visitor badge and parking) and maintain accurate visitor logs.
- Place and set up business meal orders as needed.
- Ensure conference rooms are maintained and tidy on a daily basis
- Monitor office equipment, such as copiers and printers, and ensure proper maintenance and ensure an adequate supply of printing paper is consistently available.
- Maintain accurate log of all daily duties and pending items.
- Sort and distribute employee paychecks, incoming mail and prepare outgoing mail.
- Maintain cubical tags and cubical chart for assigned office and production areas.
- Support General Service coordination of onsite vendors such as janitorial, vending machine, pest control, and document shredding vendors as needed.
- Support special company events, projects, and decoration with General Service/HR personnel.
- Perform other duties as assigned.
Required Knowledge, Skills and Abilities:
- Excellent communication and interpersonal skills
- Strong organization skills
- Strong customer service experience
- Proficiency with Microsoft Office applications required
- Bilingual in Spanish and English Preferred
- Familiar with HR payroll and benefit related knowledge is preferred
- Must be able to work night shift from 4:00 p.m. to 12:30 a.m.
Education and Experience:
- High School diploma required. Associate degree and above is preferred
- 2 years of Human Resources or Administrative experience required
